Custom views

You can create any number of custom fields to track information that is specific to your business. Once you have more than a handful of fields, you may find that you want to organize them in different ways. That’s what custom views are for. They allow you to arrange those fields into groups and sections to create one or more custom views.

Custom view inspiration

Some ideas for how you may want to organize the fields include:

  • An executive summary or key organization information view
  • An account plan view
  • A financial details view
  • An events view

These are just a few ideas of how you may want to organize and view the information you choose to track about your important relationships. Here is an example of what a custom view looks like:

How to add a custom view

  1. Click the Configure (gear) button and click the Edit button in the Views section.
  2. Decide whether the custom view will apply to organizations, people, opportunities or other entity and click New in the corresponding section.
  3. Give your new view a title and description by replacing the “New View” and “Type a brief…” placeholder text.
  4. Decide whether you would like this view to be applied to all instances of this kind of entity or whether you would like it to be applied selectively to individual entities of the selected kind of entity. Learn more about templates.
  5. Then, start dragging and dropping fields from the field list on the left over to the Drop a field here area on the right to build out your desired view.
    1. If needed, you can create new fields from this page by clicking the New Field button at the bottom of the field list.
    2. See below section on bridged fields.
  6. Add as many sections and blocks as you would like to organize your fields by clicking the “Add Section” and “Add Block” text.
    1. You can reorder any of the fields, sections, or blocks by mousing over the textured top right corner of the element and dragging and dropping it to the desired position.
    2. You can also remove any field, section, or block by dragging and dropping it over to the Drop trash here section at the bottom of the field list.
      1. Note: This will only remove fields from the view, not from the list of fields.
  7. Optionally, include block and section titles by typing where you see the “Untitled Block” and “Untitled Section” text.
  8. When you are finished creating your view, click Publish to share the view with your teammates. This will cause the view to be available as an additional tab on all of the corresponding entities (e.g. people or organizations).
    1. If you are not ready to publish the view and want to continue working on it later, you can click Done.
    2. Or, if you decide you do not want the view you created, click Discard.

Bridged fields in views

Sometimes you want to use information in your views that is actually stored on a related entity. For example, you may want to include some information from the organization in your opportunity views. To do this, you will use what we call a bridged field. For any "link" field associated with an entity, you will see a More option in the field picker. When you click More, you will then have access to all of the fields on the entity (or entities) associated with that field.

How to edit a custom view

  1. Click the Configure (gear) button and click the Edit button in the Views section.
  2. Click the name of the view you would like to edit.
  3. Make any desired edits (e.g. add or remove fields, sections, or groups; change the name or description of the view; add/edit/remove section and block titles).
  4. Click Publish to share the changes with your teammates.
    1. If you are not finished editing, click Done and you can come back to finish your edits later.
    2. If you decide you do not want to keep the changes you made, click Discard.

How to remove a custom view

  1. Click the Configure (gear) button and click the Edit button in the Views section.
  2. Mouse over the name of the view you wish to remove and click the trash bin icon that appears.

Additional information

  • Views can be created on people and on organizations.
  • The same field can be included in more than one view and can be included in a view more than once.
  • You must have administrator or owner rights in order to create a custom view.
  • Any administrator or owner can edit or remove any published view.
  • Unpublished views can only be seen by the administrator or owner user who initially created the view.
  • Custom views that are created by an admin or owner are visible to all users and on all organizations or people alike.
  • Drafts of your view are saved as you go.
  • You can keep a draft of a view before publishing it.
  • You can remove a field from your view by dragging and dropping it to the Drop trash here area at the bottom of the field list.
  • There is no way to unpublish a custom view that has been published.
